  • Candidate Data: Resumes, job applications, candidate recordings, screening responses
  • Interview Data: Responses across various interview types (AI calling, theoretical, behavioural, MCQ, coding, or a combination)
  • Communication Data: Support requests, feedback, or interactions with our team

b. Information Collected Automatically

  • Usage Data: Device details, IP address, browser type, access time, and pages visited
  • Call Data Records: Date, time, call duration, and recording metadata (for calls made via Exotel integration)
  • Audio Data: Recordings of candidate screening calls, only with consent

c. Third-Party Integrations

  • Exotel (Telephony): Used for conducting AI-driven phone interviews and candidate calls
  • Gemini/OpenAI (AI Processing): For real-time candidate interaction, scoring, and evaluation
  • LinkedIn (Job Postings): Companies may post jobs on LinkedIn directly via Graddii integration. Note: this is not an ATS (Applicant Tracking System) integration; postings are made as a company, and applicants' data flows back into Graddii for processing

2. How We Use Your Information

We use collected information for the following purposes:

  • Service Delivery: To provide AI-powered candidate screening across multiple interview types (AI calling, theory, behavioural, MCQ, coding, or hybrid)
  • Recruitment Support: To allow companies to post jobs directly to LinkedIn and receive applicants back into Graddii
  • Improvement: To enhance interview accuracy, AI models, and overall platform performance
  • Communication: To send service updates, alerts, invoices, and marketing (with opt-out option)
  • Compliance: To meet legal, regulatory, and data retention obligations

4. Data Sharing

We do not sell your data. We may share your information only with:

  • Service Providers: Exotel (telephony), LinkedIn (job posting), cloud hosting providers (AWS/GCP/Azure), AI providers (Gemini/OpenAI)
  • Compliance Authorities: If required under law or by government order
  • Business Transfers: In case of merger, acquisition, or restructuring of Graddii

5. Data Retention

Data Retention Periods:

  • Candidate interview data (audio, MCQ results, coding submissions): retained for 6 months (configurable by clients)
  • LinkedIn posting history: retained as long as the posting remains active + 3 months
  • Account and billing data: retained for as long as your account is active + 7 years for compliance
  • Logs and analytics data: retained for up to 12 months

6. Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access, correct, or delete your personal data
  • Request a copy of interview recordings or responses
  • Withdraw consent for recording/AI processing
  • File a complaint with a data protection authority
